The Case Against Overcomplicated Productivity Systems

Your productivity system should make your life easier, not harder. Here's why simple wins every time.

I've seen Notion templates with 50+ properties, automations that trigger other automations, and dashboards that look like a spaceship control panel. They're impressive to look at, but they rarely survive the first week of real use.

The problem is that complexity creates friction. Every extra step you add to logging a task is a reason to skip it. Before you know it, you're spending more time managing your system than doing actual work.

I've found that the most effective systems are boring. They have a single inbox, a clear 'next action' view, and a way to review progress weekly. That's it. Anything beyond that should be optional — a power feature you can turn on if you need it, not a default.

My own Notion workspace has exactly three databases: Tasks, Projects, and Notes. That covers everything. If I want to track something more specific, I use tags and filters rather than creating a new database. The result? I spend 5 minutes a day on admin, and the rest on creating.

Next time you're tempted to add a 'Weekly Reflection' property with a formula and a reminder, ask yourself: will this actually help me ship faster? If the answer isn't a clear yes, leave it out.
